JOB PURPOSE

Providing security and administrative support to the branch offices, warehouses and project locations of assigned region of BEL and liaison with the local authorities.

KEY RESPONSIBILITIES

Administration:

 

1. Provide Administration support for the efficient functioning of various Branch offices and Warehouses in the area assigned.

2. Identification and hiring of suitable warehouses, branch offices and execution of admin related civil works.

3. Office space management

4. Facility management - Housekeeping and Horticulture

5. Travel Desk - Air / Rail, vehicle and Hotel bookings

6. Procurement of office stationery, Furniture, equipment crockery etc

7. Process payment of utility bills like electricity, water , building maintenance etc

8. Repair, modification and maintenance activities at Branch offices and project offices

9. Maintenance of rental documents, process payments etc

10. Coordinate /conduct of events, conferences and meetings

11. Coordinate tea / coffee / Pantry / Canteen operations

12. Draw contracts for all AMCs and monitor their tasks

13. Contract for couriers - Receipt and dispatch of documents

14.Contract for Pest Control

15. Issue of Identity cards, printing of stationery etc

17. Scrap disposal

18. Waste management

19.Coordinating power supply, power back up and water connection from Govt Authorities.

20. Actively participate & contribute for implementing ESG / EHS compliances related to administrative activities.

21.Ensure availability and timely renewal of the Shop and Establishment Act Certificate, Professional Tax, Trade License etc.

22. Carry out the due diligence of the new warehouse with regards to compliances

 

Security:

 

1. Ensure the security of all employees, assets and reputation.

2. Assess requirement of guards, plan required structure and their deployment on site

3. Identification of Security agencies, draw scope of work, negotiate rates and conclude contracts.

4. Deployment and Maintenance of Security automation at sites - CCTV, body worn camera etc.

5. Establish / monitor surveillance Centre / control center at site branch office

6. Monitor day to day functional issues - absenteeism, payment issues, quality of manpower deployed etc.

7. Planning, coordination and conduct of Training of security guards

8. Check all statutory compliances are in place

9. Check invoices and process payments in time without delay

10. Establish a chain of command to ensure security drills and reporting chain

11. Incident reporting on occurrence

12. Move to site for investigation, conduct inquiry and generate a report

13. Damage control exercise in case of an incident by moving to site

14. Develop security related SOPs for implementation at site

15. Act as eyes and ears of Senior Management and share unbiased feedback of any wrongdoing / unethical / corrupt practices at the site.

16. Access control and material management at the gates.

17. Int collection and vigilance to provide early warning in case of any information that will affect operations or reputation adversely.

18. Conduct site visit at the time of initial deployment, at planned intervals and based on requirement.

19. Be part of Cross Functional Teams for the purpose of investigations, negotiations or resolution of any kind of issue.

20.Ensure that the Scrap disposal and Second Sales activities are followed as per the process

 

Liaison with Government Authorities:

 

Need to Liaise with all the government related agencies whenever required e.g Police and other Government officials for damage control in an emergency, RTO / Passport related jobs, Shops & Establishment, Municipalities and other local government offices etc.

Ensure to maintain cordial relations & rapport with District Administration and other Government agencies.

 

Miscellaneous:

 

Responsible for planning and executing all procurement related to Admin and Security with due approvals.

Organize and co-ordinate corporate events and functions assigned from time to time.

Should have sound understanding of financial and budgetary analysis, vendor management and commercials.

Graduation (any).

  • 18 years of experience and above (Age less than 50 years) • Preference for retired defense personnel at JCO/ NCO level /Security and administration.
